Email Migration to Google Workspace

A Professional Upgrade — With No Visible Change to Your Email Address

At TROPiXEL, we’re always looking for better ways to help our clients do business more effectively.

This happens in two key areas.

First, we’re upgrading our hosting environment to dedicated WordPress hosting — aligning your website with modern performance standards, stronger security protocols, and best-practice infrastructure.

Second, we’re ensuring your email system is just as robust.

Email is business-critical. It shouldn’t simply “come bundled” with website hosting. It should operate on secure, independent infrastructure designed specifically for communication.

That’s where our recommended migration to Google Workspace comes in.

Benefits

1. Improved Deliverability

Emails sent from shared hosting servers can occasionally face:

  • Outlook filtering
  • European mail compliance restrictions
  • Blacklisting caused by other websites sharing the same server
  • Higher spam scores

By moving to Google’s infrastructure (via Gmail), your email benefits from one of the strongest global sender reputations available. This significantly reduces deliverability issues.

2. Separation of Website & Email

Currently, your website and email operate from the same hosting environment.

If your website server experiences:

  • Downtime
  • Maintenance
  • Security incidents
  • Configuration issues

Your email can also be affected. Separating the two protects business continuity. Even if your website experiences issues, your email continues operating normally.

3. Enterprise-Level Infrastructure

Google Workspace provides:

  • 99.9% uptime
  • Advanced spam filtering
  • Global redundancy
  • Ongoing platform updates
  • Enterprise-grade security controls

This is a purpose-built communication platform — not an add-on service.

4. 24/7 Direct Google Support

Google Workspace includes direct 24/7 support via live chat, phone and help centre access. If you ever need assistance, you can contact Google directly — without relying solely on hosting support.

What Will (and Won’t) Change

What stays the same:

  • Your @company.com email address
  • Your existing mailboxes
  • Your Outlook setup (or other preferred software)
  • Your historical emails
  • Your folder structure

What improves behind the scenes:

  • Infrastructure reliability
  • Deliverability reputation
  • Spam filtering
  • Security compliance
  • System independence from website hosting

Outlook & Software Access

If you currently use Outlook, Apple Mail or another desktop client, we reconnect your mailbox exactly as it was. Your daily workflow does not change.

Additionally, you gain the ability to log in directly via gmail.com using your business email address and password.

This gives you:

Migration Process

We manage the entire transition:

  1. Setup of Google Workspace
  2. Domain authentication (SPF, DKIM, DMARC)
  3. Secure migration of historical emails
  4. DNS update and monitoring
  5. Reconnection to Outlook or chosen software
  6. Testing and confirmation

Old mailboxes remain temporarily as backup until migration is fully confirmed. Most businesses experience little to no disruption.
